An order notes field is a small box with an outsized effect: it catches the delivery instruction, the gift message, and the apartment buzzer code before they become a support ticket or a failed delivery. Shopify supports cart notes natively in most themes, but the field is often off, badly labeled, or invisible on mobile. This guide covers turning it on, labeling it so customers use it well, where its limits are, and how to read notes reliably before fulfillment.
Most themes include a cart note setting in the theme editor, usually under the cart template or the cart drawer settings. Enable it, then rewrite the default label. A bare Order notes label tells customers nothing. A label that names examples, like Delivery instructions or a gift message, gets used correctly far more often.
If your theme lacks the setting, the field can be added to the cart template with a small amount of code, and the note still flows into the order in the admin without any app. Either way, test it end to end: place a test order with a note, and confirm the note appears where your fulfillment process actually looks, not just somewhere in the admin.
Cart notes attach to the whole order. That is right for delivery instructions and gift messages for the recipient. It is wrong for per item details like personalization on one of three products, which need a line item property field on the product page instead. Mixing the two is how instructions get attached to the wrong item.
Decide which details belong where before you build anything. Order level: delivery, access, gift message, billing quirks. Item level: engraving text, chosen options, custom measurements. Put each field at the step where the customer knows the answer, and say what it is for in the label.
A notes field only helps if someone reads it before the box is sealed. Build the check into the packing step: the note prints on the packing slip or appears in your fulfillment app's order view. If your process uses exported spreadsheets or a third party warehouse, verify the note field survives that handoff with a real test order.
Set a simple rule for the team: no order ships with an unread note flag. Most order management views can filter or sort by orders containing notes, which turns a vague intention into a queue you can clear. The two minutes this takes is cheaper than one reshipment caused by a missed buzzer code.
Customers cannot edit a note after checkout, and you cannot reply inside it, so anything time sensitive still needs a contact route. Notes are also free text, which means they arrive messy: read them as instructions to verify, not as structured data your automations can trust blindly.
Character expectations help. A short hint under the field, like apartment, gate, or delivery day details, keeps notes focused. And if a note asks for something you cannot do, the follow up email should quote it back, so the customer sees they were read even when the answer is no.

Yes. Most themes have a built in cart notes setting, and the note appears on the order in the Shopify admin. No app is needed for the basic field, only for fancier structured inputs.
Cart notes apply to the entire order, like delivery instructions. Line item properties attach to one product, like personalization text. Use cart notes for order level details and product page fields for item level details.
Usually because the label is vague and the field sits somewhere they never look, like a collapsed drawer on mobile. Name the uses in the label and test the cart on a phone to see what customers actually see.
Not natively in a reliable way, and requiring it would annoy every customer with nothing to say. A clear label and good placement get better quality notes than a forced field ever will.
